Introducing Email Filing: Your Project Emails, Now in Part3

File important project emails and attachments directly from Outlook into Part3, creating a shared, searchable record of your project correspondence alongside your submittals, RFIs, and drawings.

Email is still a big part of construction administration. From design clarifications and submittal discussions to change orders and project decisions, important information moves between architects, consultants, contractors, and owners every day.

But too often, those conversations stay buried in individual inboxes, disconnected from the rest of the project record.

For architecture firms, that creates a real challenge. Finding an important decision can mean searching through months of emails, tracking down a colleague, or piecing together conversations from different inboxes.

It's also one reason many firms have been reluctant to move away from legacy construction administration software. They want better tools for managing CA, but they can't afford to lose the email filing capabilities their teams rely on.

Today, we're excited to introduce Email Filing in Part3.

With our new Microsoft Outlook integration, you can file project emails and attachments directly into Part3 in just a couple of clicks, keeping important correspondence alongside the rest of your CA work.

No more choosing between modern CA workflows and a complete project email record.

File emails directly from Outlook, without the extra steps

Filing project correspondence shouldn't create more administrative work.

With Part3's Outlook add-in, you can file an email without leaving your inbox. Part3 suggests the project it belongs to, using information from the email conversation, participants, and project details.

Simply confirm the suggested project, or search for another one, and click to file.

The email and its attachments are saved directly to the project in Part3.

There's no need to forward messages to a shared mailbox, manually save attachments, or copy correspondence into another system.

And because Part3 recognizes conversations that have already been filed, it can suggest the same project for subsequent replies, making it easier to keep the record up to date.

Keep your project correspondence in one searchable place

When project correspondence lives in individual inboxes, important information can be difficult to find, especially when team members are away, change roles, or leave the firm.

With Email Filing, correspondence becomes part of the shared project record in Part3.

A dedicated Emails page keeps filed messages alongside your submittals, RFIs, drawings, and other project documentation.

Your team can:

  • Find important conversations faster. Search filed emails by subject, sender, date, or words in the message.

  • Follow the full conversation. View emails grouped by thread, so you can understand how a discussion or decision developed.

  • Access supporting documentation. Open emails and download their attachments without searching through individual inboxes.

  • Keep correspondence organized. Use folders for different types of project communication, such as RFIs, submittals, or change orders.

  • Maintain a clear record. See who filed each email and when, so there's a reliable history of project correspondence.

Whether you're looking for a clarification from last week or revisiting a decision made two years ago, the information is available in the project record.

File a single email or an entire batch

We know that project correspondence adds up quickly.

That's why Part3 also supports bulk email filing, allowing you to select up to 100 emails in Outlook and file them to the same project and folder in one step.

Whether you're catching up on a week's worth of correspondence or organizing emails from an active project, you can get the information into Part3 without filing each message individually.

Part3 also identifies emails that have already been filed, helping prevent duplicate records.

You're always in control of what gets filed

Not every email belongs in the project record.

With Part3, your team decides which emails to file. Nothing is captured automatically, and Part3 doesn't scan the rest of your mailbox.

Filed correspondence is visible only within your organization, not to external consultants, contractors, or owners working on the same project.

For sensitive discussions, such as fee negotiations or claims, you can also create restricted folders that limit access to selected team members and Part3 administrators.

And if an email ends up in the wrong project or folder, you can easily move it.

Move beyond legacy CA software without giving up email filing

For years, email filing has been one of the capabilities keeping architecture firms tied to older construction administration platforms.

Even when teams are ready for more efficient workflows, better collaboration, and greater visibility into their projects, the need to preserve an organized record of project correspondence can make switching feel difficult.

With Email Filing, that no longer needs to be a trade-off.

Part3 brings your project correspondence together with the construction administration workflows your team already manages, including submittals, RFIs, drawings, and field reports.

Your team gets a more connected view of the project, while your firm maintains access to the correspondence and decisions that matter.

It's another step toward making construction administration simpler, more organized, and easier to manage across your firm.
